Cytûn
Bwrdeistref Sirol Conwy County Borough

Minutes of a Committee Meeting held on Wednesday 17th September 2008 in St. David’s Church, Craig y Don at 7.30 pm

Present:
Rev. Keith Forecast (Chair), Rev John Nice, Hilda Jones (Colwyn Bay & Rhos, Cytun), David Smith

1.   Opening

Rev. Keith Forecast opened the meeting with worship.

2.   Apologies

were received from Gareth Morris, Dyfed Matthews, Lynette Norman, Nick Sissons, Meurig Edwards, Pauline Hogan.

3.   Minutes

of the last meeting were accepted and signed as a correct record.

4.   Matters Arising

No Matters Arising

5.   Financial Report

An Outstanding Bill is expected.   When this arrives and is paid there will be a shortfall in the funds.   The proposed Choral Evening could help to clear this shortfall.   The matter was deferred until the bill is received.

6.   Links with Cytûn Wales

The Committee decided not to pay the subscription for Membership of Cytûn Wales at present.   It was felt that an Annual Conference would help to bring all the Cytûn Branches together.

7.   Publicity Material

Posters.— Keith has received some boxes of Posters to be displayed throughout the County.

There are 500 posters in each box.   The distribution of these leaflets was discussed.   Each Member Church could be given/sent some to display around gradually.

There are 15 Llandudno Churches.   Rev. John Nice took English Posters to distribute with the Llandudno Churches.   The Welsh copies will follow.

David Smith took 30 copies for Colwyn Bay and Keith would share some amongst the URC Churches.

Leaflets.— A number of Leaflets had been received from Dyfed Matthews.   It was not clear whether these were draft samples for consideration or the proposed option.   David is to liaise with Dyfed about this matter.

In the meantime could storage be negotiated with St. David’s Church—as our meetings are held there.

8.   Website

No further information was available.

9.   Annual General Meeting

A short review was given of this meeting at St. Paul’s Church.

It was great to welcome Rev. Rob Beamish of Princes Drive Baptist Church.

10.   Muslims

Nick Sissons spearheads this link.

The National Christian and Muslim Link is holding a Conference on November 7th & 8th..

“Living Faithful Family Lives”

Times—from 6.30 Friday to 5pm Saturday.

Rev. Sissons asked if Cytûn could sponsor someone to attend the Conference.

It was agreed to pay half price for one person—possibly Ros Jones—which would be £20.

Nick Sissons is keen to set up a small group together to develop the Link..

This would include 3 Muslims and 3 Christians.   Keith, Nick and 1 other were proposed to fill the Christian places.

11.   Partnerships

We have no official Reps at the present time, so new Reps are being considered.

It was proposed that all members are e-mailed and requested to place a notice in their Church Newsletters or Magazines advising that Representatives for the Partnerships are being sought.

12.   Choral Function

A list of contacts has been given to W. Charles Jones, who has agreed to organise this event.   The Choral Society will be approached.   David will liaise with Charles.

13.   Other Activities

Left in abeyance.

14.   Cytûn Conwy

It was felt that Cytun needs to make itself visible.

Some suggestions included a Joint Meal—possibly a Pancake Evening at St. Winifreds on Shrove Tuesday (24th February 2009).   Keith offered to liaise with St Winifreds.

15.   Any Other Business

The Conwy Document on Schools was discussed.   David agreed to respond on behalf of Conwy Cytûn mentioning that Cytûn wants to build bridges.

16.   Date of Next Meeting

Wednesday 26th November 2008.

17.   Close

The meeting was closed with prayer led by Rev Keith Forecast at 9.30 pm.

Notes of meeting held 13/11/2008 at Eglwys y Bugail Da, Llanrwst

Present:   Bob and Nen Valintine; Pam Kirkham; Nia Higginbotham; Mark D Jones; Kate Meakin (Fair Trade Wales); Trevor Williams; David Clark.

Apologies:   Lis Perkins; Paul Richards; Felicity Brooks; Kate Gartside; Anna J Evans; Rob Beamish; Ingrid Lewis

Nia welcomed Kate Meakin and we began with introductions.   There were no matters arising.

Correspondence: Llandudno Town Council advised that Cllr. Brian Bertola would be attending.   In the absence of a reply from CCBC's Chief exec, requesting affirmation of the council's implementation and rolling-out of its commitment to endorse Fair Trade and offer a Fair Trade option of refreshments at its offices and at meetings, a further letter to the new Chief Exec prompted a reply, indicating that the matter had been referred on to Mr Ross for action via procurement, etc.   Nia felt that this response was lacking in clout, and Mark Jones suggested raising the matter with Tony Tobin and/or Angharad Booth Taylor – but what is really needed is a political steer on this.

In view of the small number of people attending, and because both Trevor and Pam would have to leave early, the order of agenda was scrapped in order to prioritise Kate Meakin's input, etc.

Kate Meakin (Fair Trade Wales): Looking to establish regional networks or conferences, rather than all Wales meetings, to foster stronger local links and exchange of ideas/collaboration (eg: F/T Fortnight, etc.).   This has already been piloted in S. Wales in planning for F/T Fortnight, with a workshop on 'How to run a Wine Tasting event'.   Now looking to establish a similar set up in North Wales (possibly two conferences — one for Gwynedd & Anglesey and another for Conwy, Denbighshire & Flintshire?).   It was suggested that regional conferences could include a presentation on Rainforest Alliance and how we should view them (as allies or opposition?);   also reinforcement with NFUW that Fair Trade encourages support of Wales' local producers and is not in competition.
A new Grant Application form is available and can be accessed via the November e-Newsletter.   The grant is limited to a total of £500.00 for each local authority area, but can then be disbursed locally for Town F/T Steering Groups as appropriate.
Please visit: http://www.walescoop.com/fair-trade/map-of-fair-trade-wales/ and add your Fair Trade business, outlet or steering group to the map!
Fair Trade Fortnight will have a Banana theme this year.   Over 6th & 7th March, groups are encouraged to arrange (and record) Fair Trade Banana eating events all over Wales with a view to establishing a World record for F/T Banana consumption [it was suggested that F/T Wales contact sympathetic superstores at head office level, to sponsor the event].   There will again be a 'Producer Tour', but not sure who or what yet! — this should be clarified in the November e-Newsletter.
Bob & Nen forwarded the October e-Newsletter to all on the Distribution list of these notes.   This means some of us may have received it twice. Also, not sure if all the formatting was correct as a result of forwarding, but had no complaints.   If you did not receive the October e-Newsletter direct from Fair Trade Wales, but would like to receive it direct from now on, please e-mail a request to: kate@fairtradewales.com.
Schools are to be encouraged to forge ‘live’ internet links with Fair Trade producers (a Bridgend school has done this with the Kuapa Kokoo Fair Trade Cooperative).   Fair Trade Wales are looking for host schools (primary or secondary) willing to get involved — our school kids can talk on-line with the producers kids at their school on the Fair Trade Cooperative!   If your school want more information, please e-mail danielle@fairtradewales.com or kate@fairtradewales.com.
A recent survey showed that recognition and understanding of the Fair Trade Mark is higher in North Wales than in South Wales — so well done on your promotion, North Wales!
Mark Jones showed a CD produced by Pete Morton (of songs in many languages, including Welsh), who wishes to work with Fair Trade (possibly in Fair Trade Fortnight?) and could offer concerts or song writing workshops with groups of children.   He would need his expenses to be covered. Mark to ask Pete to e-mail details to kate@fairtradewales.com.   Perhaps the £500 grant mentioned earlier could be applied for specifically to set up Music workshops with Pete Morton?

Fair Trade Fortnight (23/02/2009 to 08/03/2009): Need to check with Anna J Evans and Danielle as to the possibility of organising schools conferences again this year — it depends very largely upon the Schools County Coordinators to set it up.
How to get involved with the Banana eating record attempt? — F/T Wales are producing an activity pack.
We need ideas please (for our next meeting) for Events/Activities on the second Saturday (7th March) of F/T Fortnight – K/K Fashion Show?
In order to optimise media coverage, Staggered events are better (a Fashion Show might get better media coverage at another time, with all the other F/T stuff going on in the fortnight).   Do we want to organise a Fair Trade Christmas Fair? — Give away more Recipe Cards?

Fair Trade Wales Flag events: Thanks to all who put so much work into making these events such a success.   We enjoyed excellent support from local Mayors and Councillors and from the Pioneer.   A disappointing level of support from clergy.   Good contact was made with RSPB.   The Abergele Steering Group attracted 5 new and enthusiastic members, so progress may be expected there.   A possibility of getting Llandudno Royal British Legion to host a regional F/T Conference and provide F/T refreshments?   Nia has sent 'Thank you' notes to local dignitaries, and will write to Conwy Feast organisers also.   St.Tudno's School has set up a Fair Trade Council and is on the way to becoming a Fair Trade School — they would appreciate a link with the Conwy F/T Coalition.
The Urdd National Eisteddfod committee have written to advise that they will henceforth require all providers of food at their venues to offer a Fair Trade option.

Fair Trade Status: We should hear within 2-3 weeks of the renewal of Conwy County's F/T Status.   Similarly, we should hear within 2-3 weeks, the result of Llandudno & Colwyn Bay applications for Fair Trade Town Status (feedback is that not enough community groups are involved) — suggested that we contact Communities First, Ty Hapus, local Scout/Guide/Brownie groups etc. in this respect, and ask CVSC to include in their newsletter.
If F/T Status is confirmed before Christmas, should we arrange a celebration in Jan/Feb, or perhaps concurrent with a regional conference?   Colwyn Bay would like an event in the Town Hall, immediately preceding a full council meeting.
Llanrwst’s application has not yet been reviewed.   Conwy’s application is deferred for the time being.   Abergele looks like having a good Steering Group coming together!

Other Business: Paul Richards wished to register his disappointment with the extent of coverage by the Pioneer.   He has written to invite New York to twin with Colwyn Bay for Fair Trade purposes!

Felicity Brooks would like to re-home the recipe cards after two years!!   Most have been put together and there are now only 7 boxes instead of the original 14 as there are two cards in each box.   Please let her know if anyone is willing to take them — she can try and deliver them!! Most of them are collated now and have been distributed (a good few hundred at the Conwy Feast the other weekend).   She reckons there’s probably about 1200 left to do, but there are only another 100 wallets left!! No one at the meeting volunteered, so Bob and Nen (and Nia) have offered to store them — If Felicity can deliver the boxes (suitably marked) to Kingdom Krafts, we can arrange collection and storage from there.   Any other volunteer/s for this — please contact Bob & Nen.

We also need ideas for applying to F/T Wales for this £500 grant funding — Ideas for next meeting please.

We wondered whether the poor attendance at this meeting was due to the venue, the day of meeting (Thursday) or the time (6:00 pm).   With this in mind, we will arrange the February meeting for a Wednesday (as previously) and for a 5:30 start (unless the January meeting proves to be well attended anyway!)

Next meetings
Wednesday 14/01/09 — 6.00pm at Prince’s Drive Baptist Church, Colwyn Bay — or possibly Town Hall (Paul Richards to confirm please).
Wednesday 18/02/2009 — 5:30 pm at St. David's Church, Craig-y-Don
